This guide walks you through how to log in to OneStudent. It covers first-time login for new users, the standard day-to-day login process, and how to reset your password if you have forgotten it.

Before you start
Before you can log in for the first time, your school administrator must have set up your user account in OneStudent. If you try to log in and your credentials are not recognised, contact your administrator to confirm your account has been created.
How this guide is structured
Each section follows the same pattern: a short explanation of what you are doing, numbered steps, a screenshot of the expected result, and a note for anything that can go wrong.
Convention used in this guide
Bold text refers to a button, link or field name on the screen — for example, click Save.
Italic text refers to a value or a screen state — for example, the page now shows the Assessment Items page.
2. What is the login process?
OneStudent is a web application. You access it through your browser — no software installation is required. Every session begins at the OneStudent sign-in page, where you enter your credentials to access the system.
In day-to-day use:
- Administrators log in to manage school configuration, users, assessment items and reporting.
- Heads of Department log in to manage faculty markbooks and assessment items.
- Teachers log in to enter marks and view their class results.
Who can log in?
Any user with an active account created by the school administrator can log in. There are three roles:
- Administrator — full access to all sections.
- Head of Department (HOD) — access to faculty markbooks, assessment items and class management.
- Teacher — access to their own class markbooks and assessment items.
Role note: The login process is the same for all three roles. Your screen will look different after login depending on your role.
3. Open OneStudent
Steps
- Open your web browser.
- Go to the OneStudent URL provided by your school administrator.
- The OneStudent sign-in page opens.

What you should see
The sign-in page shows the OneStudent logo, an Email Address field, a Password field, and a Sign in button.
4. First-time login
Use this when you are logging in to OneStudent for the very first time. Your administrator will have given you a temporary password. You will be prompted to change it on first login.
Steps
- On the sign-in page, enter your Email Address (provided by your administrator).
- Enter your temporary Password.
- Click Sign in.
- In the New Password field, enter a password of your choice.
- In the Confirm New Password field, re-enter the same password.
- Click Save.

- Sign out and sign back in
- After setting your password for the first time, sign out and sign back in. This ensures your account permissions and settings load correctly.
Steps
- In the top-right corner, click the pink user icon (showing your initials).
- A dropdown menu appears. Click Sign out.
- You are returned to the sign-in page.
- Enter your Email Address and Password and click Sign in.
- OneStudent opens the main dashboard with your permissions applied.
5. Standard login
Use this process every time you log in after setting your password.
Steps
- On the sign-in page, enter your Email Address.
- Enter your Password.
- Click Sign in.
- OneStudent opens the main dashboard.
6. Reset your password
There are two ways to reset a password in OneStudent: a self-service option on the sign-in page, or an administrator reset.
Option 2 — Administrator resets the password
Option 1 — Self-service password reset (recommended)
- On the OneStudent sign-in page, click Forgot your password?
- Enter your Email Address when prompted.
- Check your email for a password reset link and follow the instructions.
- Return to the OneStudent sign-in page and log in with your new password.
- Log in as Administrator.
- In the left-hand menu, go to ADMIN → Users.
- Find the user whose password needs resetting.
- Click the user's name to open their profile.
- Enter a new temporary password in the Password field.
- Click Save.
- Notify the user of their temporary password. They will be prompted to change it on next login.
7. Field reference — Sign-in page
The sign-in page has two fields:
